The Receptionist works under the Client Care Department. The purpose of the Client Care department is to deliver high quality customer service. This includes any front line customer care, and phone interactions with customers and staff. This department will be the customer’s first impression of Amazing Discoveries, so the receptionist holds the responsibility of representing the Ministry with professionalism, timely service, and friendliness.

Job Description

Receptionist
- Answer calls promptly (between 2nd or 3rd ring when possible) in a friendly and professional manner
- Transfer calls professionally to appropriate individuals
- Be able to manage multiple calls/lines
- Manage visitors/guests that come to the building, keep track of staff in and out.
- Take messages for staff members
- Listen to voicemails and pass to a client care representative if necessary
- Answer questions from callers as able
- Pick up, sort mail and distribute to appropriate department
- Opening mail and distributing
- Update database with client information & returned mail corrections, address changes, newsletter subscriptions, invoices, etc.
- Deal with newsletter subscriptions, gifts and renewals - send expiry notices, monitor expired subscriptions, remove inactive subscribers
- Assist with letter folding & labeling if needed
- Maintain an organized desk, filing system, and ensure that all paperwork is accounted for and neatly organized on a daily basis
- Update testimonial collection as needed
- Process online orders every morning
